This Privacy Policy explains how Arkalogy LLC ("Arkalogy," "we," "us," or "our") collects, uses, and shares information when you use the Resume Coach website and software-as-a-service platform, available at resumescoach.com and any related services (collectively, the "Service").

By accessing or using the Service, you agree to this Privacy Policy. If you do not agree, please do not use the Service.

Arkalogy LLC is a company organized under the laws of the State of Colorado, USA.

2. Scope and Who This Policy Applies To

This Privacy Policy applies to individuals who use Resume Coach to analyze and improve their resumes and related job application materials ("Users"). It also applies to visitors to our website.

The Service is intended for adults and is not directed to children under the age of 16. We do not knowingly collect personal information from children under 16. If you believe a child under 16 has provided us with personal information, please contact us at privacy@resumescoach.com, and we will take appropriate steps to delete it.

  • Resume Content: When you upload or paste your resume or CV (e.g., PDFs, Word documents, text), we process and store the content, including your work history, education, skills, certifications, and other information you include in your resume.
  • Job Descriptions: When you paste or upload job descriptions for analysis, we process and store that content to compare against your resume and generate suggestions.
  • AI Interactions and Feedback: When you request AI-generated suggestions, scores, or rewrites, we process your inputs and the generated outputs. If you rate suggestions (e.g., thumbs up/down) or provide feedback, we store that information to improve the Service.
  • Billing and Subscription Information: If you subscribe to a paid plan, we collect certain billing-related information (such as your name, email, and subscription status). Payment card information is processed by our third-party payment processor (Stripe); we do not store full payment card numbers.
  • Support and Communications: If you contact us via email, live chat, or other channels, we collect the content of your communications and any information you choose to provide.

4.2 Information Collected Automatically

When you use the Service, we automatically collect certain information about how you access and use it, including:

  • To Provide and Operate the Service: Including account creation, authentication, processing your resumes and job descriptions, generating AI-based suggestions and scores, and maintaining the functionality and security of the platform.
  • To Improve the Service: To understand how users interact with Resume Coach, fix bugs, optimize performance, and develop new features and capabilities.
  • To Personalize Your Experience: To tailor recommendations, suggestions, and product experiences based on your usage.
  • To Communicate with You: To send service-related emails (such as account notifications, security alerts, transactional emails), respond to your inquiries, provide support, and send information about changes to our terms and policies.
  • For Billing and Account Management: To manage subscriptions, process payments, handle refunds where applicable, and maintain your account status.

While we primarily focus on users in the United States and do not specifically market the Service to users in the European Economic Area ("EEA") or the United Kingdom ("UK"), if you are located in the EEA or UK, we process your personal data under the following legal bases:

7. AI Processing and How We Use Your Content

Resume Coach uses artificial intelligence ("AI") to analyze resumes and job descriptions and to generate suggestions and scores. When you submit resume content or job descriptions, we process that content to provide the Service.

  • Third-Party AI Providers: We may send your content to third-party AI providers, such as Anthropic (Claude API), to generate analyses, scores, and suggestions. These providers process your content only to provide the requested AI functionality.
  • Embeddings and Internal Algorithms: We may create vector embeddings or other derived representations of your content to enable semantic search, similarity matching, and other internal optimization and routing features.
  • User Feedback: If you rate or provide feedback on AI suggestions (for example, thumbs up/down), we may use that information to improve our matching logic and retrieval systems.

We do not use your content to train general-purpose AI models. We do not allow our third-party AI providers (such as Anthropic or other model providers) to use your content for their own model training where we have the ability to control that choice.

AI-generated outputs may contain errors or inaccuracies. You are responsible for reviewing AI suggestions and deciding whether to use them.

8. Cookies and Similar Technologies

We use cookies and similar technologies to operate and improve the Service. These include:

  • Essential cookies for authentication, session management, and security (for example, Supabase authentication cookies and Cloudflare security cookies).
  • Functional cookies to enable features such as live chat (for example, Crisp cookies).
  • Analytics cookies to understand how the Service is used (for example, Google Analytics, Mixpanel, and Hotjar).
  • Payment-related cookies used by Stripe to prevent fraud and support secure payments.

    • Cloudflare (hosting, CDN, security, and edge compute)
    • Anthropic and other AI providers (AI processing)

    • Mixpanel (product analytics and attribution)
    • Hotjar (behavioral analytics such as session recordings and heatmaps)

  • Business Transfers: If we are involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of all or a portion of our assets, your information may be transferred as part of that transaction.
  • Legal and Safety: We may disclose information if we believe it is reasonably necessary to comply with a law, regulation, legal process, or government request; to enforce our Terms of Service; or to protect the rights, property, or safety of Arkalogy, our users, or others.

10. Data Retention and Deletion

We retain your account information, uploaded resumes, job descriptions, and related data for as long as your account is active and as necessary to provide the Service.

When you delete your account, we place your data into a restricted state ("soft delete"), which removes it from active use but allows us to retain it for legitimate business purposes such as preventing fraud, maintaining service integrity, complying with legal obligations, and enforcing our Terms of Service.

You may request permanent deletion of your personal data by contacting us at privacy@resumescoach.com. Upon receiving a verified request, we will permanently delete or irreversibly anonymize your personal data from our active systems and backups within a reasonable timeframe, unless we are legally required or permitted to retain certain information.

We may retain certain derived or anonymized data (such as aggregated statistics or vector embeddings that cannot be used to identify you) for analytics, service improvement, and operational purposes.

11. Data Security

We use reasonable technical and organizational measures to protect your information, including encryption in transit (TLS) and at rest where applicable, access controls, and secure development practices. However, no method of transmission over the internet or method of electronic storage is 100% secure, and we cannot guarantee absolute security.

12. International Data Transfers

Our Service is operated primarily from the United States, and your information may be stored and processed in the United States and other countries where our service providers operate.

If you are located outside the United States, you understand that your information may be transferred to, stored, and processed in the United States or other jurisdictions that may have data protection laws different from those in your country.

Where required by law, we implement appropriate safeguards for international data transfers, such as standard contractual clauses or equivalent mechanisms.

  • Account Information: You may access, update, or correct certain account information by logging into your account or contacting us.
  • Marketing Communications: You may opt out of marketing emails by using the "unsubscribe" link in the email or contacting us. We may still send you transactional or service-related communications.

We do not sell or share personal information as those terms are defined under CCPA/CPRA. We may use third-party service providers for analytics, payments, communications, and similar functions, but these providers act on our behalf and are not permitted to use your personal information for their own purposes except as allowed by law.

14. "Do Not Track" Signals

Some browsers include a "Do Not Track" ("DNT") setting that can signal websites not to track your online activity. There is currently no universally accepted standard for responding to DNT signals, and we do not respond to DNT signals at this time.

15. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify you by updating the "Last updated" date at the top of this page and, where appropriate, by providing additional notice (such as by email or through the Service).

Your continued use of the Service after any changes become effective means you accept the updated Privacy Policy.
